Privacy Policy

Last updated: 8 October 2026

This is a draft pending review by legal counsel. It describes how AssignNet works today; the final text will replace it, and you will be asked to accept the new version where acceptance is required.

This policy explains what AssignNet, a service of ZetuTech LLC, collects about the people who use it (client organisations and clinical evaluators), why, and the choices you have.

  1. 1.Information we collect

    • Client organisations: work contact details (name, work email, organisation, job title), what you tell us when you contact us, your account, and a record of when you accepted our terms (time, version and IP address).
    • Clinical evaluators: name and email; country and languages; your track and approved specialties; for clinical trainees, your institution and year of study; for licensed clinicians, your credential, licensing body and licence number; the credential document you upload (a student ID, enrolment letter or licence certificate); your field-test result; the grades and written reasoning you submit and quality measures about them; and your M-Pesa number and registered name for payouts.
    • Everyone: sign-in and security records, such as active sessions and sign-in activity.
  2. 2.How we use it

    • To route cases to evaluators with the right specialty, language, country and clinical tier.
    • To vet evaluators, including checking licences on the public KMPDC, NCK, COC and PPB registers.
    • To check grading quality (calibration, known-answer checks and lead review) and resolve disputes.
    • To pay evaluators each week by M-Pesa.
    • To provision client accounts, deliver evaluation batches and respond to enquiries.
    • To keep accounts secure and prevent misuse.
  3. 3.What clients see about evaluators

Clients receive grades under pseudonymous evaluator IDs and always see whether each grade came from a clinical trainee or a licensed clinician. Background details (country, region, languages, verified credential and approved specialties) are shared only for evaluators who opt in, and batch summaries merge any group of fewer than three evaluators into “Other”. Licence numbers, names, contact details and credential documents are never shared with clients.

  4. 4.Patient data

AssignNet does not provide medical advice, diagnosis or treatment, and does not collect, process or store protected health information about patients. Clients must upload only synthetic or de-identified data; every upload is attested by an administrator and screened for obvious identifiers.

  5. 5.How we protect it

Data is encrypted in transit. Credential documents are kept in private storage and opened by AssignNet administrators only through links that expire after five minutes. Access controls in our application limit each client organisation to its own batches and each evaluator to the cases assigned to them.

  6. 6.Your choices

Evaluators can turn sharing of their background details with clients on or off at any time from the Grading Terminal. Depending on where you live, you may have the right to access, correct or delete your personal data, or to object to how it is used.
